CHAIR
* Presides over all meetings of the Associations
* Appoints standing committees and is an ex-officio member of all standing committees
* Appoints special committees as designated by the Assocation
* Presides over the meetings of the Board of Directors
* Performs duties pertinent to the Office of Chair to ensure the health & perpetuation of the Association and to stay true to its stated purpose
* Acquaint all Board of Director members and committee chairs with their responsibilities
* Create an annual schedule of meetings of the Association and the Board of Directors
* Engage the Board of Directors to review the financial and membership status of the Association
* Create and annual budget with the treasurer
* Create fundraising and membership recruitment projects as deemed necessary
* Create and maintain a WAGS Chair Notebook containing:
  * Current WAGS Constitution and bylaws
  * List of past and present members of the Board of Directors and appointed committee chairs
  * Organization, duties and delegated responsibilities of the Board and appointed committees
  * Organization, duties and delegated responsibilities of the Board and appointed committees
  * Schedule of the activities of the Association
  * Annual assessment of the Board’s performance in fulfilling the purpose of the Association
  * Annual assessment of the financial and membership health of the Association
* Passes the WAGS Chair Notebook to the newly elected Chair at the end of their term

REPORTS

VICE CHAIR
* Exercises the duties of the Chair in the absence of the Chair
* Serves as Program Committee Chair and is responsible for establishing the program for each regular meeting
* Introduces the invited presenter(s) in regular meeting and presents any honoraria
* Creates and maintains a * WAGS Vice Chair Notebook containing:
  * Program information including the date of presentation, subject of presentation, presenter, presenter contact information, and honoraria given for benefits of future Vice Chairs
* Program information provided to WAGS Webmaster for posting on the Association’s website and to the Public Relations Committee Chair for media release
* Maintains Honoraria Guidelines including:
  * Local Retreat speakers’ honoraria
  * Travel expense compensation beyond a 100-miles long round trip
multiple speakers
  * Prominent speakers
* Passes the WAGS Vice Chair Notebook to the newly elected Vice Chair at the end of their term

REPORTS

RECORDING SECRETARY
* Take charge of all papers, keep such records, make such reports and perform such duties as are incidental to the office and properly required by the Association
* Records the minutes of all meetings of the Board of Directors and provide a copy to all Board members via email for review and comment
* Record the minutes of all Association regular meeting and read these minutes at the next subsequent regular meeting
* Organize and maintain both the Board of Directors’s meeting minutes and the Association meeting minutes in an Association Minutes Book
* Maintain the Association Minutes Book with all existing minutes in chronological order, including any previous or new volumes
* Pass the Association Minutes Book to the newly elected Recording Secretary at the end of their term

CORRESPONDING SECRETARY
* Keep a record of the names and addresses of members supplied by the Treasurer
* Handle all business correspondence of the Association
* Handles sales of Association publication and other materials
* Keeps an inventory of all publications and materials for sale
* Perform duties required of the office
* Collect and distribute mail except for bank statements
* The Corresponding Secretary shall organize and maintain all written Association correspondence in an Association Correspondence Folders
* These correspondence folders are to be organized chronologically and may encompass multiple volumes
The Association * Correspondence Book is to contain an Association Roster Section
* The Association Correspondence Book is to be passed on to the newly Elected Corresponding Secretary in the November Board Meeting
* It is the responsibility of the Correspond Secretary to:
  * Create the annual roster of membership to include name, home address, email address and telephone numbers. The roster is to designate whether the member is a life or annual member and whether the member is non-resident
* A copy of this current Association Roster is to be kept in a database
* The Association roster is to be established annually in January and provided to:
  * the Treasurer for use in budgeting
  * the Membership Committee Chairman
  * the Annual roster is to be updated as needed

MEMBERSHIP

TREASURER
* Responsible for all funds of the Association
* Conducts the banking business of the Association and maintains all records of such business
* Prepares all accounts for and conducts and annual audit in November
* The Treasurer will be assisted by the Audit Committee, which will include the incoming Treasurer when that is a new member
* The Audt Committee should have at least two members solicited by the Treasurer from the membership at the August regular meeting
* If there are no volunteers, the Board of Directors shall appoint members to the Audit Committee at its October meeting
* Submit monthly financial reports to both the Board of Directors’ meetings and Association regular meetings
* Conservatively invest excess financial assets of the Association to earn money and offset the cost of life members to the Association
* Maintain the PO Box, collect mail, and distribute to appropriate officers
* Supply mailing labels in zip code order for Association mailings
* Organizes and maintains the Association Ledger Book with all existing records in chronological order, including any previous or new volumes, the ledger contains all financial transactions of the Association, the Association’s banking information, and the Association’s PO Box information and key
* Organizes and maintains the Financial Report Notebook with all existing records in chronological order, including any previous or new volumes, the notebook contains the Annual Budget of the Association and the Year-End Assessment of the budget’s performance
* Define the Association’s financial assets that are greater than required to finance the Annual Budget to the Board of Directors, recommend a management reserve to the Annual Budget and prepare an investment plan for excess assets for approval at the Board’s February meeting
* Pass the Association Ledger Book and Financial Report Notebook to the newly elected Treasurer at the end of their term

EDITOR OF THE BULLETIN
* The editor is responsible for:
publishing the Bulletin twice a year in April and October
* Scheduling, soliciting, organizing and editing the contents of the Bulletin
* Obtaining proofreaders and making corrections before the release of the Bulletin
* Providing the Bulletin in a suitable format for publishing on the WAGS website

* WAGS’s Webmaster maintains a web site @www.wagsnetnorg hosted by BlueHost or another service:
* Posts membership meetings monthly — information supplied by Vice Chair
* Post handouts for meetings on Members Only page
* Post WAGs Bulletins in PDF on Members Only page
* Posts table of contents on WAGS Bulletin page
* Post changes to the WAGS Book Shoppe
* Post minutes from WAGS Board of Director’s meeting

* Serve as representative of the membership on the Board of Directors
