WAGS Board Meeting Minutes
5 March 2019

The Watauga Association of Genealogists Board met at 5 p.m. on Tuesday, 5 March 2019 at the Johnson City Public Library prior to the general meeting at 6:30 p.m. Board members present were Etta Mays, Wanda Manning, Jim Wilson, Linda Blanton, Betty Jane Hylton, Sada Johnson, Lois Wetzel, Anne Whittemore, and Janette Guinn. Also present from JCPL were Adult Services Clerk Kyle Johnson and Technical Services Manager David Ownby.
The minutes of the last WAGS Board meeting held on 27 November 2018 were approved.
Treasurer Report
Year 2018 treasurer Susan had emailed the checking account report with $3731.08 in that account as of 31 December 2018. PayPal has a balance of $106.01. Balance of the primary share (savings) account was $2869.92. Balances of the three CD accounts were: $1119.21, $1187.16, and $1152.43.
Membership Report
Membership secretary Wanda reported one DVD set had been sold.
Bulletin Editor Report
Bulletin editor Sada reports the draft copy of the Bulletin has been sent from Margaret to Sada for approval and final checking before being sent to proof readers.
Webmaster Report
Webmaster Betty Jane reported she has had more meetings with CJ Hallock. Mailhost is no longer the email for the WAGS webpage; Mailchimp is now the host. CJ has installed new software which Betty Jane is now learning. Kyle recommends WordPress instead of DreamHost now in use.
Library Items
Kyle reported he will be leaving JCPL to accept a full time position at Northeast State Community College beginning March 17. The June 22 celebration at JCPL for Family History Day has been delayed. WAGS is not officially a 501c3 organization, but the IRS recognizes WAGS as a non-profit.
Old Business
Discussion ensued concerning the future of WAGS since there is no chairman and no treasurer. Etta and Margaret have been talking and will be agreeable to being co-chairs of WAGS. Sada has offered to take over the position of WAGS treasurer. Betty Jane needs to be taken off the Eastman Credit Union accounts because she has nothing to do with the funds. Chairman Etta and Treasurer Sada need to be on in her place.
Jim made a motion that for 2019 Etta and Margaret serve as co-chairs of WAGS and Sada serve as treasurer of WAGS. Betty Jane seconded the motion which passed unanimously.

Further discussion about the future of WAGS led to a consensus to be more of a genealogy club that meets at the JCPL.
Jim made a motion for all first Tuesday WAGS meetings to be open forum format. Sada seconded the motion which passed. Jim made another motion to have a WAGS board meeting each month at 5 p.m. just prior to the first Tuesday general meeting. Anne seconded the motion which passed.
Jim motioned to adjourn at 6:25 p.m. Betty Jane seconded the motion which passed.

WAGS Board Meeting Minutes
2 April 2019

The Watauga Association of Genealogists Board met at 5 p.m. on Tuesday, 2 April 2019 at the Johnson City Public Library prior to the general meeting at 6:30 p.m. Board members present were Etta Mays, Wanda Manning, Jim Wilson, Linda Blanton, Betty Jane Hylton, Sada Johnson, and Janette Guinn. The minutes of the last WAGS Board meeting held on 5 March 2019 were approved.
Treasurer Report
Year 2018 treasurer Susan had emailed the checking account report with $4406.13 in that account as of 31 March 2019. PayPal has a balance of $159.09. Six dues payments of $17.18 each were received and $50 was paid to CJ Hallock for website services. Balance of the primary share (savings) account was $2879.19. Balances of the three CD accounts were: $1123.68, $1192.97, and $1158.92. Jim made a motion to accept the treasurer report. Betty Jane seconded the motion which passed.
Membership Report
Membership secretary Wanda reported WAGS now has 65 regular members and 26 members from 2018 who have not renewed. She reported one DVD special offer sold and two of the History of Washington Co. TN books were ordered.
Bulletin Editor Report
Bulletin editor Sada reports the spring issue of the Bulletin is on the WAGS website. The only problem noted was that only the cover has this issue as #2 which will indicate the fall Bulletin. All the pages of the Bulletin are labeled correctly with the #1.
Webmaster Report
Webmaster Betty Jane reported the 2019 spring Bulletin is on the website. Uniflip was not used. She shared a website report showing the most views as 149 on March 26.
Old Business
WAGS still has access to Genealogy Gems by Lisa Louise Cooke which can be used for programs. Etta can share access to these presentations with the board members so they can peruse the offerings there to chose interesting ones to share with the members.
Etta and Sada need to get on the WAGS ECU account.
Jim made a motion to have a sale on the WAGS publications, and to discontinue being a vendor for Overmountain Press publications. The motion was seconded by Wanda and passed. A link to the Overmountain Press website and a phone number could be added to the WAGS website for those wanting to purchase books. It was agreed to drop the cost of the Maxwell prints to $15 each.
The next WAGS Bulletin DVD needs attention from Glenn and Margaret.
Treasurer Sada asked about the IRS Form 990N to be submitted and it was suggested she get the password from 2018 treasurer Susan.
The Johnson City Senior Center has a Genealogy Club that meets on the third Wednesday of each month from 1 to 3 p.m.

Treasurer Report
Year 2019 treasurer Sada shared the checking account report with $4548.50 in that account as of 01 May. Three deposits were made and no checks were written.
Membership Report
Membership secretary Wanda reported WAGS now has 71 regular members. One customer who had ordered two books was dissatisfied with the condition of the books.
Bulletin Editor Report
Bulletin editors Sada and Margaret report they are accepting articles for the fall Bulletin. Get your Great Eights ready to submit for publication.
Webmaster Report
Webmaster Betty Jane reported all Overmountain Press books have been removed from the Book Shoppe page. A note with Overmountain Press’s address, phone number and web page URL has been added. All WAGS publications have been marked down to half price, plus shipping and handling. The most views on the WAGS website were 52 on 27 April.
Library News
David reported 20 new titles either distributed or published by ETHS will be added to the Tennessee Room during the summer.  The library also purchased the ‘Bristol Sessions’ and the ‘Knoxville Sessions’ CD set to complement the ‘Johnson City Sessions’ set purchased in 2018.
Currently, passenger indexes, older Johnson City directories, and fragile family histories are being sent to the binders for long-term preservation.
David recommended a joint WAGS-JCPL book sale be held in September.  Technical Services will provide materials from its back inventory of genealogy resources to supplement any books or items WAGS wants to sell.
David would like suggestions of titles to order for the Tennessee Room of the JCPL.
He has a list of new books in the Tennessee Room he will get to the Bulletin editors, Sada and Margaret, for publication in the fall Bulletin.
Old Business
WAGS still has access to Genealogy Gems by Lisa Louise Cooke which can be used for programs. Etta asked the board members to check for interesting programs on the Genealogy Gems website and let her know which ones they think would be best to use.
Mail
Washington County Archivist Ned Irwin had sent a letter of appreciation for the donation from WAGS.
Jonesborough Genealogical Society is going to have a Heritage Fair on May 17.
New Business
Treasurer Sada asked when the P.O. Box payment of $250 is due. She also needs a key to the box.
WAGS usually conducts an audit when there is a change in the treasurer position. It is usually done by two members. Jim will probably have more information about this procedure.
The book, “Ladies of Oak Ridge,” was mentioned as the subject of a future program. Jim Malone is the Oak Ridge Librarian.

Treasurer Sada shared the checking account report with $4548.89 in that account as of 31 May. PayPal had a balance of $277.81.
Library News
David had shared a list of new titles with the Bulletin editors for publication. The book sale date was discussed. He was thanked for putting up the Genealogy Pathfinders material Kyle Johnson had produced. If a researcher wants help to use the Tennessee Room materials he can make an appointment with adult services for genealogy help. They can then call a WAGS volunteer.

Membership secretary Wanda reported WAGS now has 72 regular members.
Bulletin Editor Report
Bulletin editor Sada and Betty Jane reported Margaret and Glenn are ready to burn a master DVD and have asked the board how many Bulletins we want on this fourth DVD. Wanda made a motion to put Bulletin volumes 32 through 44 (2003 – 2015) on this next DVD and charge $40 plus $6 shipping. Sada seconded the motion which passed. This DVD will have 13 years of Bulletins on it, while the other three DVDs have 10 years on each of them. Reminder: Volume 44 is the last paper-only Bulletin. The later ones have all been digital issues.
Webmaster Report
Webmaster Betty Jane shared a website report printout showing the most views of 27 on May 24. The approved WAGS board minutes have been posted. She has linked Kyle’s Genealogy Pathfinders to the website.
Old Business
WAGS still has not scheduled an audit. Last year’s treasurer Susan had taken care of the form 1099 for the 501(c)(3) non-profit status.
New Business
WAGS has a program scheduled for July 2 – but no program. Betty Jane suggested perhaps showing the new Genealogy Pathfinders. One of the Genealogy Gems podcasts could be shared.
Sada made a motion to renew the Genealogy Gems membership hosted by Lisa Louise Cooke. The motion was seconded by Betty Jane and Linda and passed.
A suggestion was made to read over the WAGS By-Laws and Constitution and combine them into just By-Laws at later board meetings.

WAGS Board Meeting Minutes
2 July 2019

The Watauga Association of Genealogists Board met at 6:30 p.m. on Tuesday, 2 July 2019 at the Johnson City Public Library. Board members present were Margaret Hougland, Etta Mays, Wanda Manning, Linda Blanton, Lois Wetzel, Betty Jane Hylton, Sada Johnson, Anne Whittemore, and Janette Guinn. David Ownby was present as the Library Liaison.
The plans for this meeting included:
1. Break up into 4 discussion groups: Programs, Website, Bulletin and Membership.  I’m asking Etta to lead the Programs group; Betty Jane- the Website; Sada – the Bulletin; and Wanda – Membership.  Remaining members will distribute to help brainstorm with the group leaders.
2.  Groups meet for about 15-20 min.; then meet as one body to exchange ideas that came up in individual groups.
3.  Identify goals for WAGS. 
4.  Start planning for the future direction of WAGS.

All information for Bulletins is on one page, which includes the table of contests from each issue. The second page is for books. These two pages will be published when DVD #4 is ready for sale.

The date on the current version is 30 June 2015. Etta has created a document combining the By-Laws and the Constitution. She will email that to the board members.

Treasurer Report
Treasurer Sada shared the checking account report with $4509.51 in that account as of 31 July. PayPal balance remains at $65.89. Genealogy Gems was paid $179.10 on 07/02/2019 and an $18 membership fee was received. The question was asked if PayPal is to be used to pay DreamHost and the answer was no, the treasurer will pay that out of WAGS account.
Webmaster Report
Webmaster Betty Jane was not able to be at the meeting but had shared a website report printout stating 62 views on August 14. She has updated and published Book Shoppe pages and included the announcement of DVD #4 of Bulletins. The question was asked what do we want on the WAGS website, and what do we want on the members only section: Great Eights, surnames, queries?

Membership secretary Wanda reported WAGS now has 73 regular members. She and Tom are having trouble getting the labels printed for the DVDs. She already has an order for DVD #4 and has sold two King’s Mountain prints.
Bulletin Editor Report
Bulletin editors Sada and Margaret reported the Bulletin ready for proofing has 106 pages including a list of the contents of all Bulletins. Queries and Great Eights can be submitted for the next couple of days.

WAGS brochures status: Supply is very low and we need to update and get more printed.

Bulletin Editor Report
Bulletin editors Sada and Margaret reported Bulletin Vol. 48, #2 is now up in the members only section of the WAGS website. They have the subject index for the Bulletins from 2002 through 2019 ready to publish. They will be getting the Bulletins to flash drives.
Library News
Library Liaison David shared that JCPL took in $435 at the book sale 7 September. He would like suggestions for book titles to buy for the Tennessee Room with the funds from WAGS. The library does not have Fold 3 access because it would cost the JCPL $5000 a year to bundle it with ProQuest.
Old Business
Election of 2020 officers: Anne has declined to remain on the board because of time constraints.

DVD status: Wanda reported that all 4 DVDs and index will fit on one flash drive. The charge for DVD #1, #2, and #3 are $15 each. DVD #4 is $20. All 4 DVDs plus Index will cost $50. Wanda made a motion to bundle all 4 DVDs and Index on one flash drive. Sada seconded the motion which passed. David will be given two sets of all four DVDs for the JCPL’s use.
Speaker’s honoraria: Certificate of appreciation – Sada will check her programs to create a suitable certificate. Distance one way 50 to 99 miles – change $15 for gas to $30: Distance one way 100 miles or greater – change $25.50 for gas to $50. Anne made a motion to accept these changes. Wanda seconded the motion which passed.
New Business
Brochures: Margaret found 100 copies at 14 cents each and Etta picked them up.
Gifts to JCPL and Washington County Archives: Sada made a motion to donate $500 to the JCPL. Anne seconded the motion which passed. Etta made a motion to donate $500 to the Friends of the Washington County Archives. Sada seconded the motion which passed.
DreamHost: Sada reported the payment for DreamHost is due in October. Susan was taken off as contact person and Sada was put on, but she has not been able to log on to the website.
Webmaster Report
Webmaster Betty Jane had emailed a website report printout stating the Speaker Honoraria Guidelines had been posted on the Member Only page. WAGS Bulletin Vol. 48, #2 was posted 30 September 2019. Cleanup continues on outdated material. Margaret had requested more information such as surnames, Great Eights, and queries be posted. The material will need to be in document form and “standardized” before it is sent to Betty Jane to be put on the WAGS webpage.

Webmaster Betty Jane had emailed a website report printout showing views per month per year from November 2012 through November 2019. She has created a page for the Great Eights in the Members Only section. She is waiting for the list/table of the Great Eights before publishing to the website. It was suggested that those lists could also be included in the Bulletin. She asked how the latest Subject Index created by Margaret and Sada will be used.

David will bring bottles of water
Betty Jane will bring plates and napkins
Tablecloths, forks, food will be provided by other board members.
